Virtual Executive Assistant

A remote executive assistant who handles administrative tasks for the founder or executive team, freeing up 15–20 hours per week for high-value activities.

WHAT’S INCLUDED:

EMPLOYEE ONBOARDING (SUPPORT): Preparing welcome packages, sending out forms, coordinating equipment setup with IT, handling first-day logistics.

CALENDAR MANAGEMENT: Meeting coordination. Sending invitations with pre-set agendas, Zoom links, and relevant materials. Resolving scheduling conflicts.

EMAIL MANAGEMENT: Access to a delegated inbox. Sorting and prioritization. Responding to low-priority emails using approved templates. Daily summary of emails requiring the Executive’s attention.

Bookkeeping & AP/AR

Maintenance of accounting records, bank reconciliations, accounts receivable, accounts payable, and monthly financial reports for decision-making.

WHAT’S INCLUDED:

CPA COORDINATION: Preparation and organization of all documentation required for the client’s annual tax filing, tailored to their specific business structure.

INITIAL SETUP: Configuration or review of the accounting system. Chart of Accounts tailored to the company’s industry sector. Connection of bank accounts and credit cards for automatic data import.

AP (ACCOUNTS PAYABLE): Receipt of vendor invoices. Data verification and internal approval. Recording in QBO. Scheduling of payments according to terms.

AR (ACCOUNTS RECEIVABLE): Issuance of client invoices in accordance with contracts. Automated delivery. Reminders sent at 15, 30, and 45 days. Monthly AR Aging Report. Dispute resolution management.

BANK RECONCILIATION: Monthly closing process involving 100% reconciliation of all bank accounts and credit cards. Identification and correction of discrepancies. Documentation of all adjustments.

EXPENSE CATEGORIZATION: Review and accurate categorization of all expenses in accordance with the Chart of Accounts. Essential for generating meaningful reports and for tax preparation.

MONTHLY REPORTS: Profit & Loss, Balance Sheet, and Cash Flow Statement presented in an executive format. Delivered by the 5th of the following month. Includes a brief analysis of key variances.

HR & Payroll Administration

Management of the complete payroll cycle, onboarding/offboarding, benefits, and U.S. labor compliance for SMEs without an in-house HR Manager.

WHAT’S INCLUDED:

MONTHLY REPORTING: Departmental payroll summaries, headcount metrics, benefits cost analysis, accrued PTO balances per employee, and alerts for expiring documents.

PAYROLL: In-system payroll processing. Calculation of regular hours, overtime (FLSA compliance), accrued PTO, and deductions. Direct deposit processing.

PAYROLL TAXES: Calculation and filing of federal and Florida payroll taxes. Form 941, FUTA, SUTA (Florida Reemployment Tax). Electronic tax deposits to the IRS within regulatory deadlines.

ONBOARDING: Digital new hire package — W-4, I-9, direct deposit form, digital employee handbook, and system access provisioning. E-Verify processing.

OFFBOARDING: Processing of final paychecks in accordance with Florida law (immediate issuance for terminated employees); deactivation of system access in coordination with IT; COBRA notification letters; and separation documentation.

BENEFITS: Administration of annual Open Enrollment (health, dental, vision, 401k). Tracking of eligibility status and coverage changes. COBRA management for employee separations.

FLORIDA LABOR COMPLIANCE: Monitoring of changes to minimum wage rates, Workers’ Compensation requirements, FMLA regulations, and New Hire Reporting requirements.

Digital Marketing Operations

Operational execution of the SME’s digital marketing activities: social media management, email marketing, content creation, basic paid advertising, and analytics reporting. MG executes; the client defines the strategy.

WHAT’S INCLUDED:

MONTHLY REPORTING: A comprehensive dashboard featuring. Delivered by the 5th of each month, accompanied by 3 key insights and actionable recommendations.

SOCIAL MEDIA MANAGEMENT: Management of 2–4 of the client’s social media profiles. Publication of 3–5 posts per week per platform, according to an approved calendar. Responses to comments and direct messages within 2 hours during business hours.

CONTENT CREATION: Design of branded posts aligned with the client’s brand identity. Creation of bilingual copy. For Reels: basic editing including music and text overlays.

EDITORIAL CALENDAR: Monthly content planning in collaboration with the client. Client approval required prior to publication. Content scheduling via Buffer / Later.

EMAIL MARKETING: Design and distribution of monthly newsletters and promotional campaigns. Basic list segmentation.. Analysis of open rates, click-through rates, and unsubscribe rates. Periodic list cleaning.

GOOGLE AND META ADS MONITORING: If the client has active campaigns, the analyst monitors daily spend, CTR, CPC, conversions, and Quality Score. Adjustments to bids and negative keywords based on weekly performance. Campaign tracking and monitoring. Requests for new creative assets submitted to the client when ad fatigue levels are high.

IT Help Desk L1 and L2

First-tier technical support for SME employees. It resolves day-to-day technological issues without requiring the founder or the management team to get involved.

WHAT’S INCLUDED:

KNOWLEDGE BASE AND SELF-SERVICE: Documentation of the most frequent solutions is made available via a self-service portal for the client’s employees. This leads to an organic reduction in L1 ticket volume over time.

REQUEST INTAKE: The employee reports the issue via established channels. An MG agent confirms receipt within 15 minutes and opens a ticket with a tracking ID.

DIAGNOSIS AND TRIAGE: Gathers necessary information: problem description, operating system, affected software, error message (screenshot), and whether the issue is new or recurring. Categorization by type and priority.

L1 RESOLUTION — ACCESS AND ACCOUNTS: Password resets, account unlocks, MFA configuration, SSO troubleshooting, and provisioning of access to new tools.

L1 RESOLUTION — SOFTWARE AND DEVICES: Installation and configuration of approved software, driver updates, troubleshooting for printers and peripherals, VPN configuration on employee devices, and support for Microsoft 365 and Google Workspace.

L1 RESOLUTION — CONNECTIVITY: Diagnosis of employee Wi-Fi or Ethernet issues, email client configuration, and basic support for videoconferencing tools.

L2/L3 ESCALATION: Issues exceeding L1 scope (advanced network configurations, server issues, undocumented software bugs, cybersecurity matters) are escalated to the designated internal or external IT team, accompanied by full case documentation.

Data Entry & Doc. Processing

Data capture, document digitization, form processing, and database maintenance for SMEs with administrative operations intensive in paper or unstructured formats.

WHAT’S INCLUDED:

QUALITY CONTROL: Sample-based review of 10% of processed records each week to verify accuracy. Immediate correction of detected errors. Monthly reporting of error rates by document type.

DOCUMENT DIGITIZATION: Scanning or receipt of physical documents. Extraction of key information using OCR, with human review of low-confidence fields. Naming and organized digital filing within the client’s Drive.

FORM PROCESSING: Data capture from client forms, surveys, orders, or requests received via email, paper, or web forms. Uploading to the client’s CRM, database, or system. Double-entry verification for critical fields.

DATABASE UPDATING: Maintenance and updating of the client’s CRM: updating contacts, companies, communication history, and pipeline stages. Cleanup of duplicate and incomplete records.

ORDER PROCESSING: For SMEs receiving orders via email, WhatsApp, or web forms—capturing the order in the client’s system, inventory verification, client confirmation, and order creation within the system.

DOCUMENT MANAGEMENT: Organization and filing of client documents according to a defined taxonomy. Version control. Document index updated on a monthly basis.
